Position Summary:

The Office Manager will manage all aspects of the office facility ranging from maintaining the office condition to performing administrative tasks for subtenants. In addition, the Office Manager will work directly with the Director of Marketing to assist with event planning (in-person and virtual) and the Chief Financial Officer to assist with bookkeeping duties.

This role is based out of Roseville, CA and is available for an immediate start.


First Impressions

  • Welcome guests, provide information, answer queries, and direct visitors to the person they need to see
  • Answer telephone and transfer calls to the appropriate individuals
  • Demonstrate professionalism during all in-person, telephone, and online interactions


  • Receive, distribute, and send mail, including items that may require shipping (FedEx)
  • Organize and maintain office files and records
  • Maintain adequate office supplies and re-stock as needed
  • Maintain breakroom area and facility office equipment (printers, copiers, postage meter)
  • Review and maintain availability of conference rooms for staff/client meetings
  • Perform miscellaneous office functions


  • Write a variety of forms, letters, reports, and memos
  • Proactively seek out areas of improvement and effectively communicate constructive suggestions
  • Assist with event planning including attendee communications, experience (in-person and virtual), and follow up

Accounting Support

  • Handle cash and simple bookkeeping duties including processing of payables, client invoicing, and processing collections/deposits (accounting/QuickBooks experience a plus)


  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (Word, Excel, and Outlook, in particular)
  • Hands-on experience with office machines (e.g. printers, copiers, and postage meters)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative Assistant or Secretary a plus
